District 22 Electoral District Association - Annual General Meeting

You are invited (and encouraged!) to participate in District 22’s Annual General Meeting.

What is an Electoral District Association?
An Electoral District Association is the primary local organizing unit of the Green Party of Prince Edward Island. District Associations play a critical role in local grassroots activities, community engagement, fundraising, and selecting and supporting candidates in elections. A strong District Association is instrumental in laying the groundwork for the successful election (or re-election) of a Green MLA.

What happens at the Annual General Meeting, and how can I get involved?
The Annual General Meeting (AGM) is the most important annual occasion for Green Party members in a district to come together. It is when the District Association’s Coordinating Team reports on its activities over the past year, and seeks the input and engagement of members.

The most important order of business will be the election of the Coordinating Team (see below).

You must have a Green Party of PEI membership in good standing (or have become a member at least 30 days before the AGM), and be resident in District 22, Summerside – South Drive, to be eligible to vote at the AGM. However, members in good standing who live outside of the District may also put themselves forward for election to the Coordinating Team, and all members are welcome to attend the meeting.

Electing the Coordinating Team
The District Association’s Coordinating Team is the Association’s executive body, driving and guiding the Association’s activities.

Would you like to join with other Greens in creating a vibrant local community and team? You are invited to seek election for the positions currently vacant on the Coordinating Team. The roles and main duties of the vacant positions are listed below:

1. Chair – Length of Term: 2 Years
• Act as chair/facilitator of District Association meetings (but may share/delegate this role with other Coordinating Team members).
• Coordinate the activities of other Coordinating Team members and committees
• Ensure that the District Association fulfills its duties towards its membership (for example, by organizing required general meetings and elections) and towards the party (e.g. reporting requirements).
• Serve as the primary spokesperson for the District Association, when necessary (but may delegate this role).
• Promote membership and involvement in the District Association, and continually plan for succession within the Coordinating Team by identifying and fostering new leaders and talents.
• Other duties as determined together with the rest of the Coordinating Team to help advance the association’s objectives.

2. Financial Coordinator - Length of Term: 1 Year
• Monitor District Association funds through its Virtual Account.
• Authorize District Association expenditures.
• Submit donations received and expenses incurred to the party for deposit or reimbursement.
• Ensure that donations accepted and expenditures made by the District Association on the Party’s behalf are in compliance with both Elections PEI and GPPEI rules.
• Supervise District Association fundraising activities.
• Other duties as determined together with the rest of the Coordinating Team to help advance the association’s objectives.

3. Communications Coordinator – Length of Term: 2 Years
• Ensure that the District Association webpage (on the main Party website) is up-to-date, including submitting events to the Party’s Events Calendar.
• Draft and send email correspondence to District Association members as needed.
• Have principal responsibility for management of any other communications channels used by the District Association (social media accounts, email groups, etc).
• Ensure that proper Green Party of PEI branding and communications guidelines are adhered to in all District Association communications and materials.
• Other duties as determined together with the rest of the Coordinating Team to help advance the association’s objectives.

4. Data Coordinator – Length of Term: 1 Year
• Ensure that all supporter and member contact information is entered and kept up to date in the database
• Support other Coordinating Team members in their work by providing access to membership data as required.
• Other duties as determined together with the rest of the Coordinating Team to help advance the association’s objectives.

5. Member-at-large (Term is until next year’s AGM)
With the approval of the elected Coordinating Team members, any member may join the team as a Member-at-Large, contributing towards the success of the association using their time and abilities.

We need YOUR help and hope you’ll get involved even if you don’t seek one of the core elected roles on the Coordinating Team.
